- Client Services Manager

We are a fully remote company, with partners and staff throughout California. Applicants must reside in California.
Client Services Manager (CSM)
The primary focus of TeamCivX Client Services Managers is client service: creating client and public-facing materials, ensuring they are on-message, on-time and error-free, and helping TeamCivX partners and their clients implement communications, outreach and campaign plans on time and as directed.
A typical day for a CSM will involve running scheduled client calls, strategic project management via email and phone calls, and proactive outreach to clients to manage deadlines and troubleshoot issues as they arise, as well as working with our Art and Field Teams to produce direct mail and other materials, and support client and volunteer campaign needs.

Requirements & Qualifications
- Bachelor's Degree in Political Science, Communications or related field, or equivalent experience
- Must be California Resident, or willing to relocate upon hire
- Strong written and verbal communication skills
- Experience with remote work and comfort working in a fully remote environment
- Must be able to obtain California Drivers license and be able to travel for client meetings as needed
- Ability to manage multiple projects simultaneously
- Experience managing multiple and competing deadlines in a fast-paced work environment
- Close attention to detail and strong proofreading skills
Roles and responsibilities include:
Messaging Development
- Crafting and finalizing poll-tested, on-message text for handouts, mailers, websites, social media and other materials
- Overseeing the graphic design or production of these materials, as needed and directed, by graphic designers, web developers, video producers or social media content developers, to ensure timeliness and appropriate messaging
- Carefully proofreading materials and reviewing all drafts to ensure client-readiness
- Coordinating with client, including public agency staff and/or designated campaign officials
- Helping support polling, including reviewing drafts, timelines and messages
- Managing client review process for all materials to ensure timeliness and secure approvals
Client Management
- Tracking all relevant contacts and client details
- Preparing agendas and running client calls
- Preparing for and participating in client meetings, calls and zooms
- Tracking calendars and deadlines, on both public-sector clients and campaigns
- Tracking meeting notes and client to-dos
- Managing ballot argument, rebuttal and AB1416 filing process, including tracking signatures and forms, and ensuring accurate, legally-correct and timely filing
- Scheduling internal and external meetings with relevant team members
- Adding all relevant client documents to Google Drive and keeping it organized
- Reading and responding to all emails, texts and phone calls in a timely manner, seeking Partner input as appropriate
- General client and campaign committee support and responsiveness, as needed and directed
Ballot Measure Readiness
- Becoming familiar with key aspects of potential ballot measures in consideration by our clients, including: tax type, tax rate, funding mechanism, voter approval thresholds and key deadlines
- Helping track these key themes as they evolve throughout the project, to ensure all materials accurately reflect them
- Assisting Partner to ensure that Client’s administration and elected officials are ready to adopt ballot measure for the election
Art & Production
- Providing overall management of art and design process, to ensure deadlines are met, final materials are on-time, mistake-free, on-message and approved in writing by all required parties
- Helping create drafts for mail and social media as needed
- Directing initial design on mailers
- Proofreading all documents before sending to client or production
- Directing Art Team for edits and changes to mailers
- Managing client approval process
- Managing legal approval process
- Securing DocuSign approvals from client, w/ Partner copied
- Reviewing printer proofs
- Working with local newspapers or radio stations to place ads
Field
- Directing Field Team activities to ensure all grassroots efforts, including walking, texting, phone banks, relational outreach and related efforts, are conducted on time, with mistake-free materials, to the correct targeted voters
- Scheduling volunteer trainings
- Reviewing and finalizing draft materials before sharing with client
- Providing clear and timely direction to Field Team regarding needed scripts, lists, trainings and other documents
- Reporting metrics to campaign committees
- Must be familiar with PDI
